1. Scope of Application of the General Terms and Conditions
At Dsherpass, our main goal is to provide you with an unforgettable and hassle-free experience. We appreciate you choosing us for your trip. Before making a reservation, we invite you to carefully review our policies, terms, and conditions.
By purchasing our tours through our website, social media, email, or at our office, you agree to these terms and conditions. Any participation in our services will be considered as acceptance of these agreements.
For the purposes of these terms, "we," "us," and "our" refer to Dsherpass EIRL (hereinafter, "Dsherpass").
2. Reservation and Booking Policies

Please ensure that you provide all required details, and that they match your official documentation, which you will use to enter the country. Essential information includes: full names, passport number, date of birth, nationality, gender, and contact information (email or WhatsApp number). Additionally, we would appreciate it if you inform us of any special requirements, such as dietary restrictions, medications, or any health conditions.
Once the payment is confirmed, we will verify availability and review the necessary permits.
Note: The reservation is considered 100% confirmed only upon receiving a written confirmation from Dsherpass.
Initial Deposit
To secure your reservation, Dsherpass offers you the option to make an initial deposit via our website or payment link. This deposit is used for purchasing tickets, transportation, and other required services, and is therefore non-refundable.
Please note that the deposit amount will vary depending on the type of tour and any additional services you have selected. You can pay this deposit via PayPal, credit card, or debit card. Keep in mind that these payment methods may incur an additional service fee as required by the PayPal platform.
Booking Confirmation
Your reservation will be confirmed once you receive an email from Dsherpass with all the details. This will happen after you have paid 100% of the tour or the deposit and availability has been verified.
We recommend reviewing the confirmation details, such as dates and itineraries. If there is anything you would like to modify, do not hesitate to contact us. We want to ensure everything is perfect for your trip.
Shared Resposability
Both the client and the agency have responsibilities to fulfill to ensure a pleasant experience. The client must provide accurate and complete information when making a reservation and comply with payment deadlines and documentation requirements.
Our agency, in turn, commits to providing the most up-to-date information and managing reservations effectively. By making a reservation, the client assumes responsibility not only for themselves but also for all members of their group. This includes ensuring that each person is aware of trip details, such as itineraries, documentation requirements, and cancellation policies.
3. Deposit Requirements for Itineraries
The deposit amount will depend on the type of tour and any additional services chosen to personalize your trip. This means that each itinerary will be unique to each client. We recommend reviewing the deposit conditions before making your reservation.
Deposits are non-refundable. No exceptions.

4. Payment Policies
- a. Payment Methods
Deposits or full payments can be made in cash, by credit/debit card, or via PayPal. All payments must be registered before the start of the tour; otherwise, the client will not be able to begin the tour with our company. - b. Cash Payments
We accept cash payments in US dollars or Peruvian soles. All bills must be in perfect condition. If you choose this payment method, you must make the full payment at least 48 hours before the tour start date. - c. Bank Fees
The client is responsible for any fees charged by their financial institution. We recommend checking the fee amount with your bank before making a payment, as it may vary depending on the bank and type of transaction.
5. Cancellation Policies
- a. Cancellation Request:
If you need to cancel your reservation, you must formally submit a request via email to your sales advisor. This ensures that your request is considered and that the applicable Terms and Conditions are applied to your situation. We recommend reading our cancellation policies in advance. - b. Initial Deposit:
When making your reservation with a deposit, please note that it is 100% NON-REFUNDABLE. This deposit secures your spot on our tour and covers administrative costs. To avoid future inconveniences, we recommend carefully considering your plans, as the deposit is a fundamental part of our policies. - c. Date Change:
We understand that unforeseen circumstances may arise, so we are flexible with tour date changes. However, for tours like Salkantay or any that include the Machu Picchu ticket or other special tickets requiring advance reservations, there will be a $70 administrative fee, in addition to any fees charged by third parties for the tickets related to the Machu Picchu tour, whether or not they include Huayna Picchu or Machu Picchu Mountain. These tickets are non-refundable and non-transferable, requiring our team to book them again. Availability for new tickets will be subject to availability.- Non-transferability of the Machu Picchu Ticket: This ticket cannot be transferred to another person under any circumstances.
- Date Modification: The ticket date cannot be changed.
- Non-refundable: The ticket price is non-refundable, as no modifications can be made once booked.
It is important to note that these regulations, except for administrative costs, have been established by the Peruvian government and are not specific to any particular travel agency.
- d. Cancellation Fees:
Understanding our cancellation policies will help you plan your trip accordingly. The applicable cancellation fees are:

- e. Additional Considerations:
For hikes to Machu Picchu via Salkantay or others: If a client decides to leave the tour due to circumstances beyond our control (e.g., health or physical issues), no refunds will be issued, as resources have already been allocated for tour organization, meals, and tickets. However, the client may rejoin on the final day to avoid losing their Machu Picchu ticket.- Natural disasters or social unrest: If services cannot be provided due to these circumstances, a 50% refund will be issued, considering administrative expenses.
- Pandemics: In the event of a global pandemic, no refunds will be given. However, we offer flexibility to reschedule the tour.
- Pre-tour briefings: Attending information sessions is crucial, as they provide essential details about the tour.
- No-show policy: If a client does not participate in the scheduled tour, no refunds will be issued.
- Unused services: No refunds will be given for services that the client chooses not to use.
6. Medical Information and Responsibilities
- a. Mandatory Disclosure:
Clients must inform the agency of any medical conditions, allergies, physical limitations, or special requirements to ensure a comfortable experience. - b. Health and Fitness:
Participants must be in good health to engage in the tour activities. Even for moderate-level activities, clients should ensure they are physically prepared. - c. Travel Suitability Assessment:
Before joining our tours, we recommend consulting your personal physician to determine if the tour is suitable for you, considering factors such as fitness level, emotional readiness, dietary restrictions, and prescribed medications. - d. Participation Rights:
Participants acknowledge their right to actively and respectfully engage in all scheduled activities. It is essential to follow the guide’s instructions and group rules. We reserve the right to exclude individuals who do not comply, as they may pose a risk to other participants. - e. Pregnancy Disclosure:
Pregnant participants must inform the agency at the time of booking. This is crucial to ensure both the mother’s and baby’s safety. The agency reserves the right to adjust the itinerary or recommend non-participation if the activity is deemed risky. - f. Travel Insurance:
We strongly recommend that all travelers have travel insurance covering cancellations, medical emergencies, and other unforeseen situations. We are not responsible for any unexpected costs during the trip. Obtaining travel insurance is the responsibility of each participant and is essential for a safe and smooth experience. - g. Your Health is Our Priority:
Your well-being is of utmost importance to us. We ask for honesty when informing the agency about your health condition.
7. Terms and Conditions for Tours and Treks
- a. Prices:
Tour prices are per person and include shared accommodation for two people in hotels and campsites. Solo travelers will be paired with another traveler of the same gender. If a participant prefers private accommodation, they must inform the agency in advance, and availability is subject to confirmation. - b. Payments and Service Fees:
As mentioned in the Payment Methods section, reservations can be paid online via credit/debit card, PayPal, or in cash at our offices at least two days before the tour. - c. Group Dynamics and Orientation:
We ask for understanding and patience, as each group consists of individuals with different walking paces. Communication is key to a great experience—if you feel uncomfortable or face any issues during the tour, please inform us, and our team will be happy to assist you. - d. Transportation and Itinerary:
All tours include round-trip transportation to Cusco via minivan. (The return train option is subject to availability, so we recommend notifying your booking agent in advance.) - e. Health and Safety on the Trail:
If a client becomes ill or injured during the trek, our team will provide necessary assistance to return to Cusco. However, any additional expenses will be covered by the client. - f. Responsibilities and Obligations:
We are responsible for providing a safe environment and qualified staff for each tour, ensuring assistance at all times. However, we are not responsible for actions taken by third parties. - g. Passports and Visas:
Ensure you bring your passport, ID, visa, and any other necessary documents. If you change your passport after booking, please send us a message with a photo of your new passport to update your reservation. Failure to do so may prevent entry to Machu Picchu, as the information on the ticket must match your passport details.
8. Group Size and Language During the Tour
Our tours are conducted primarily in English and Spanish. Each group can have up to 8 participants, and we offer the option to customize and arrange private tours.
9. Tips
Tips for guides and service staff during the tour are not included in the price and are considered optional. However, participants are encouraged to acknowledge the service provided with a tip that reflects their level of satisfaction.
10. Hotel Accommodation Conditions for Cusco & Aguas Calientes
- a. Standard Double Rooms: Our accommodation is standard, offering two double beds per room. Private rooms are available for those seeking more privacy.
- b. Upgrades and Special Requests: We offer hotel and restaurant upgrades. If you wish to enhance your experience, please let us know during your booking under Special Requirements.
- c. Single Accommodation: For travelers requesting a private room, an additional fee will apply, depending on availability.
Ensuring your comfort is our priority, so we appreciate you informing us in advance about your accommodation preferences. We will do our best to meet your request based on availability.
11. Assumption of Risk
By participating in the tour, attendees acknowledge and accept that certain inherent risks are associated with the planned activities, which may be beyond our control, such as weather conditions, wildlife, or vegetation.
By taking part in the activities, you voluntarily assume these risks. All participants are advised to exercise caution and follow the guide’s instructions at all times to ensure their safety and that of the group.
12. Financial Responsibility
We are responsible for ensuring all services corresponding to the payment made by each participant. However, we are not liable for any additional expenses incurred by the participant during the tour. It is essential that each attendee plans their budget accordingly to ensure a smooth experience.
13. Applicable Law
- This agreement is governed by the laws of the Republic of Peru.
- By using our services, you agree to submit to the jurisdiction of the Peruvian courts.
14. Right to Use Images
By participating in the tour, attendees grant us the right to capture and use images and videos in which they may appear for promotional and marketing purposes. Please note that no monetary compensation will be provided for appearing in photos or videos. We are committed to using these materials responsibly and respectfully.
If a participant does not wish to be photographed or recorded, they must inform the guide or booking agent in advance.
